Most companies already have Microsoft 365, but very few unlock its true potential. Globally, over 3.7 million organisations use the platform, including more than 85% of Fortune 500 companies. The question today is not whether to adopt it, but how to make it truly valuable.
In my role at Sopra Steria, I often see a recurring challenge: organisations own powerful tools but use only a fraction of their capabilities. Together, we can change that.
Efficiency starts with work enjoyment, not harder work
Productivity isn’t about working faster; it’s about giving people the space to focus on what matters and enjoy their work. Microsoft 365 and AI can support this, but only if they are used effectively.
Most users explore just 5% of what tools like Word or Teams offer. Features remain undiscovered, workflows become fragmented, and employees waste time on manual tasks. The result? Frustration, disengagement, and lower efficiency.
Microsoft 365 can help organise information by project or theme, but technology alone isn’t enough. The right frameworks, governance, and clear guidance are essential to make data accessible, searchable, and secure.
AI needs strong governance
AI adds another layer of complexity. It can access information users may not even know exists, creating potential risks if oversight is weak. Clear access rights, defined user roles, and robust security processes are crucial to ensure responsible AI use.
Looking ahead, autonomous AI agents make strong safeguards even more important. Rapid AI evolution requires short iterations, continuous evaluation, and close collaboration between IT, security, and business teams.
Business first, technology second
A common pitfall in Microsoft 365 projects is starting with IT instead of the business. A technically perfect rollout may fail if it doesn’t match how people actually work.
That’s why I begin every project with conversations, both with IT and end users. Understanding daily frustrations and workflows reveals which solutions will truly help. IT frameworks and security remain vital, but they are not the starting point.
Through inspiration sessions and real use cases, organisations often uncover “aha moments” that reveal what Microsoft 365 and AI can achieve. These insights create momentum and help scale solutions that deliver real value.
Copilot goes way beyond drafting documents or summarizing emails. It can be an active participant in your meetings: creating meeting minutes on the fly, pointing out todo's, or letting you ask questions about what is being said while the meetings is still ongoing. It's also really good at analyzing data in Excel or doing deep research about specific topics.
By automating repetitive tasks, Copilot frees up time for employees to focus on higher-value work, creativity, and decision-making. These practical capabilities show how AI can make daily work not just easier, but smarter.
Where to start
Many organisations feel overwhelmed by these AI opportunities and therefore also lack a clear strategy. They know they want AI, but not always why or how. Guidance is key.
